![]() ![]() Save Brain Power: Deciding where to fit your tasks into your calendar one by one adds up to a lot of decisions being made first thing in the morning, which can lead to decision fatigue.Check out some powerhouse smart planners in my reviews above. Save Hours: Smart digital planners, especially the ones that automatically schedule your tasks for you, will save you way more time than a traditional paper or digital planner because you don’t have to do everything by hand. Now here’s why you should consider using a smart digital planner, in my humble opinion: Why Use a Smart Digital Planner? Some of my favorite smart digital planners are Motion, Reclaim, and Trevor. What is a Smart Digital Planner?Ī smart digital planner is a type of digital planner that uses tech like AI, machine learning, and task management functions to keep track of your to-dos and appointments and sometimes even schedule them into your calendar for you (in the case of AI-based planners). Digitizing your daily calendar is right up there with digitizing your networking habits (like a digital business card). I am an AI and automation tech blogger, after all. That said, I have a special place in my heart for smart digital planners, especially those that use AI. On the other hand, a digital planner can’t be forgotten on the train or lost to fire or water damage. Spill your coffee one time, and it might be ruined forever. Difficult to Ruin or Lose: Paper planners are so fragile. And using a smart planner (which I’ll talk about next) will help you save even more time. Save Time: Digital planners make it easy to add pages, schedule to-dos, and move things around really quickly.Eco-Friendly: We could debate about whether using batteries and electricity is eco-friendly, but using less paper will certainly contribute to saving more trees and producing less trash.Always With You: Since your digital planner syncs with all your devices, you’ll always have it with you as long as you’ve got your phone. When everything is digital, it all fits neatly into your digital devices. Less Clutter: Getting rid of paper planners means that you don’t have all that paper piling up or tons of books filling up your shelf.Desktop and Mobile Apps: Sunsama is designed for use on a computer, but there’s a companion app for your phone that allows you to check your list throughout the day to stay on track. ![]() Then it tells you, “You’re done!” and you can leave your computer in peace. Daily Shutdown: This app prompts you to do a daily shutdown at the end of your workday, where you can review everything you’ve done (a major motivation boost) and reschedule tasks that didn’t get done. This prevents you from overscheduling yourself and getting overwhelmed. Realistic Planning: Because you’re asked to set a time for each task (and choose a time you want to stop working for the day), you’re quickly faced with the reality of your day and how much you can actually finish. That means you don’t have to check all your apps anymore, and you can put your head down and start working through the list. When you’re done making your list for the day, you can enter Focus Mode, where you see only your task list and your calendar for the day. Distraction-Free: This app is minimalist-it doesn’t have a ton of menus and buttons to fiddle with. When you’re done, you get a simple list of all the things you need to do for that day. It goes like this: Check all your feeds, add your tasks, calculate the time needed, get rid of stuff that’s not a priority, then decide the order you’ll finish them (or drop them into your calendar). Walks You Through Planning: Every morning, when it’s time to plan your day, the app walks you through the planning process. You can even decide whether a habit is high or low priority, which lets Reclaim know whether it should prioritize the habit over your other tasks or not. Create Good Habits: The app prompts you to create certain habits, like reading, writing a blog, or exercising, and then will proactively add them to your schedule, so you always have time for the important things you want to do but always seem to put off.Just by typing, you can set the time it’ll take, the due date, the priority level, and if it can be broken down into chunks. Easy Task Input: If you want to write your to-dos into Reclaim itself, it has a really intuitive way of doing that.Designed for Teams: You can bring in things like emails, Zoom meetings, Slack messages, your personal to-do lists, and work-based task apps to schedule them all in one place. If you need to move things around, Reclaim will reshuffle your schedule to match. Automatic Scheduling: Like any self-respecting AI planner, this app will take your parameters and then schedule all your tasks for you so everything gets done on time.
